Jones uses email notifications to keep you up to date on changes to your vendor's insurance status. This short guide will walk you through what notifications you'll get and how to control them.

Email Notification Settings

Jones sends out a variety of emails to keep you updated on the COI collection process and your vendor's compliance status. You can choose which email notifications you'd like to receive by toggling the switches on the settings pop-up (blue means on, grey means off). Descriptions of each email notification option can be found below.

COI is not compliant

If your vendor is missing any of the required insurance coverages or provisions, the vendor will be marked as not compliant on the platform. The compliance manager for your property will be notified via the vendor not compliant email that the gaps need to be waived or a new COI requested, and you will be included on that email.

Policy is about to expire

If your compliance manager has the auto-renewal setting on, prior to a vendor's COI expiring, the vendor will receive a sequence of COI expiration approaching emails reminding them of the upcoming expiration and asking them to upload a new COI. Both you and the compliance manager at the property will be included on those emails.

If your compliance manager does not have the auto-renewal setting on, both you and your compliance manager will receive a reminder email 14 days before the COI expires. In that case, your compliance manager may request a new COI, starting a sequence of COI expiration approaching emails.

<aside> 💡 If the expiration date passes and an updated COI has not been added, the COI will expire and there will be a gap in coverage. At that point, the expired policies are treated as normal coverage gaps. To learn more about coverage gaps and the relevant emails, see the section titled Gap Emails in our Vendor Emails Guide.

COI is not compliant prior to the on-site

If you fill out an onsite date when inviting a vendor, and the vendor is not in compliance as the onsite date approaches, a succession of onsite approaching emails will be triggered. The vendor will receive an email 5 days prior to the vendor coming onsite, 2 days prior to the vendor coming onsite, as well as the day of the vendor coming onsite
